COMPENSTATION:

This is a SALARIED/ EXEMPT position. The annual range is: $67,000 - $82,000 

(this represents the expected pay range for this job requisition. Ultimately, in determining your pay, we'll consider your experience and other job-related factors)

JOB SUMMARY:

The Executive Assistant to the Chief Marketing Officer (CMO) provides high-level administrative support while assisting in marketing-related initiatives. This role involves managing schedules, coordinating communications, supporting marketing campaigns, and ensuring the smooth operation of the marketing department.

This role supports many sub-functions including Sales & Merchandising, Integrated Marketing and Procurement.  The ideal candidate is detail-oriented, proactive, and capable of handling multiple tasks in a fast-paced retail setting.

JOB RESPONSIBILITIES:

  • Oversee and manage the CMO’s calendar, ensuring seamless scheduling of meetings, store visits, and industry events
  • Coordinate cross-functional meetings with merchandising, operations, and distribution leadership teams
  • Prepare meeting agendas, presentations, and briefing materials. Complete a variety of special projects, including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material
  • Serve as the main point of contact between the CMO and internal/external stakeholders, including vendors, agencies, and store teams.
  • Organize marketing team meetings, promotional planning sessions, and vendor top to top meetings
  • Assist in coordinating in-store marketing events, sponsorships, and community outreach programs.
  • Oversee schedule coordination for conventions and trade shows

JOB RESPONSIBILITIES (CONT.):

  • Record meeting minutes and ensure timely follow-up on action items
  • Arrange travel, accommodations, and itineraries for store visits, industry conferences, and vendor meetings
  • Manage and process expense reports efficiently while adhering to budget guidelines
  • Draft and review emails, reports, and presentations related to marketing strategies, promotions, and brand initiatives.
  • Handle confidential and time-sensitive information with discretion
  • Support marketing campaigns, seasonal promotions, and new product launch initiatives
  • Conduct research on competitors, market trends, and consumer insights in the grocery retail sector
  • Assist in tracking key performance indicators (KPIs) for marketing efforts, sales impact, and customer engagement.
  • Maintain organized digital and physical records related to marketing initiatives, promotional materials, and vendor agreements
  • Responsible for department adherence to company records retention policy
  • Coordinate with suppliers, advertising partners, and in-store merchandising teams
  • Ensure smooth day-to-day operations of the marketing department
  • Type and prepare correspondences and presentations using Microsoft Office Word, PowerPoint, and Excel
  • Conduct research, assemble and analyze data to prepare reports and documents
  • Errands as needed
  • All other duties as assigned and necessary for the operation of the executive and the departments

REQUIREMENTS / QUALIFICATIONS:

  • High School Diploma or equivalent
  • College Degree and/or certificate preferred
  • Proficient with Microsoft Office Programs (Word, Excel, Spreadsheet, PowerPoint, and Outlook): including internet research ability
  • Experience supporting senior level executives
  • Strong organizational, multitasking, and problem-solving abilities
  • Excellent communication and relationship management skills
  • High level of professionalism, discretion, and ability to handle confidential information.
  • Ability to work in a fast-paced retail environment, managing multiple priorities.
  • Ability to perform basic mathematical calculations
  • Excellent phone etiquette with a pleasant speaking voice
  • Knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar
  • Excellent verbal, written, and interpersonal skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, and write reports and correspondences Must be able to pay continual attention to detail in composing, typing, and proofreading

  • Excellent organizational, administrative, and time management skills with the ability to multi-task
  • Ability to establish and meet strict deadlines; including the ability to work effectively under pressure within limited time constraints
  • Ability to deal effectively and professionally with all levels of individuals doing business from within and outside the Company
  • Confidentiality, integrity, accuracy, and problem-solving required
  • Some evening and weekend availability is required, as needed
  • Office-based role with occasional travel to stores, vendor meetings, and industry conferences
